Reports to: Director of Academic Integrity, Community Standards Office


Purpose: To provide administrative support to the Community Standards Office, including administrative support for commencement related tasks.


Principal Accountabilities:

  • Translate Arabic documents or conversations for all duties of the office, as needed
  • Scanning, copying and filing
  • Schedule meetings and book appointments
  • Reserve rooms for meetings and hearings
  • Assist with sending and sorting emails
  • Assist with maintaining digital case files (TBD by the candidate)
  • Answer questions regarding hearing/sanction timings, appointments and general inquiries about the website, and provide overall office assistance
  • Create SAP fund reservations and job orders
  • Manage PR requests
  • Help with commencement related tasks
  • Administration of the Ahmed Zewail Prize (website, monitor the prize website/email, assist the committee chair with preparation of the submissions and distribution to committee members; arrange for the medal, certificate and check)
  • Compile script information for commencement/events (follow up with all relevant offices: Office of the Registrar, Office of Student Development and the Office of the Dean of Graduate Studies)
  • Compile program information for commencement/events
  • Assist with the creation of event timelines
  • Email departments for stage party members and maintain the undergraduate and graduate faculty attendance lists
  • Assist with event receptions
  • Assist with cap and gown logistics
  • Distribution of passes for faculty members
  • Attend most planning meetings
  • Other similar tasks as needed



Minimum education requirement: Bachelor degree is required

Experience: Three to five years of previous experience including two years in similar fields


  • Ability to communicate orally and in writing with different constituencies of the university (faculty, staff, students, parents and administrators)
  • Strong command of written and spoken English
  • Strong command of written and spoken Arabic
  • Ability to diffuse conflicts with professionalism
  • Discretion and tact when dealing with sensitive or confidential issues
  • Detail oriented
  • Ability to multi-task
